CovertQuote Privacy Policy

We collect information that you provide directly and information generated as you use CovertQuote. The categories of information we collect include:

• Account information: Your name, email address, password credentials, and role when you register and sign in.
• Protected email addresses and phone numbers: The project-specific email addresses and phone numbers we generate and assign to your quote projects.
• Vendor contact information: Names, email addresses, phone numbers, and other details about vendors who contact your protected project identities.
• Messages: Inbound and outbound emails, text messages, and replies routed through your protected project identities.
• Call records: Incoming and outgoing call metadata, including phone numbers, timestamps, duration, and call type.
• Voicemail: Voicemail recordings, transcripts, and any AI-generated summaries associated with your projects.
• Transaction information: Plan selections, payment activity, and billing history related to your subscriptions.
• Device information: IP address, browser type, operating system, and similar technical identifiers collected automatically.
• Usage data: How you interact with CovertQuote, including projects created, features used, and activity logs.

We use the information we collect to provide, operate, and improve CovertQuote. Specifically, we use your information to:

• Provide the service, including creating and managing protected project identities and your dashboard.
• Route communications to and from your protected email addresses and phone numbers.
• Organize and display vendor quotes, messages, and call records within your projects.
• Process payments and manage your subscription and billing.
• Prevent abuse, fraud, spam, and unauthorized use of the service.
• Provide customer support and respond to your questions and requests.
• Improve CovertQuote, develop new features, and maintain service quality and reliability.

Messages and communications routed through CovertQuote may be automatically analyzed for the following purposes:

• Spam prevention and filtering.
• Detection of prohibited or disallowed content.
• Compliance with legal and regulatory obligations.
• Summarization of emails, texts, calls, and voicemails.
• Organization and categorization of quotes and vendor communications.

Automated analysis may use AI service providers. These providers process limited information necessary to perform the analysis and are bound by their own privacy and security commitments.

To provide CovertQuote, we rely on operational service providers that process limited information on our behalf. These may include:

• Telecommunications providers that carry calls, SMS, and voicemail.
• Email providers that send and receive email on behalf of your protected addresses.
• Hosting providers that store data and run the service infrastructure.
• Payment processors that handle subscription and billing transactions.
• Analytics providers that help us understand service usage and performance.
• AI service providers that support summarization, spam detection, and organization features.

These providers process only the information necessary to deliver the relevant functionality. Operational service providers process information according to our applicable agreements with them, their service terms, and applicable law. CovertQuote does not claim that your information is never processed by third-party service providers.

When you use a phone-enabled project plan, CovertQuote assigns a protected project phone number to route calls, SMS, and voicemail. We collect the mobile information necessary to provide these features, including the phone numbers that contact your protected number and the content of messages exchanged.

SMS messages are used solely to deliver the CovertQuote service — for example, routing inbound vendor texts to your dashboard and sending outbound replies you initiate. We do not use SMS or mobile information to send promotional or marketing messages, and we do not share it with third parties or affiliates for those purposes.

You can stop using phone features at any time by archiving the project or adjusting your project settings. Standard message and data rates from your mobile carrier may apply.

CovertQuote does not sell subscribers' personal information. We do not sell the email addresses, phone numbers, messages, or other personal information we collect through the service.

Sharing information with operational service providers, as described above, is done to provide the service and is not a sale of your information.

We may use de-identified and aggregated information for analytics, benchmarking, service improvement, and industry reporting. Examples include aggregate statistics about quote volumes, average response times, and feature usage trends.

De-identified and aggregated information is processed so that it cannot reasonably be used to identify individual subscribers. We do not attempt to re-identify individuals from de-identified or aggregated data.

CovertQuote is not intended for anyone under 18 years of age. We do not knowingly collect personal information from children. If you believe a minor has provided us with personal information, please contact support@covertquote.com and we will take steps to delete it.

When you join the CovertQuote waiting list, we collect your name, email address, consent status, consent date and time, submission date and time, the page you signed up from, and your waiting-list status.

We use this information to administer the waiting list and send permitted launch-related email. We do not send promotional or launch email to waiting-list members until commercial email is enabled and the required sender identification, unsubscribe link, and postal address are configured.

You may withdraw from the waiting list or request deletion of your waiting-list information by using an unsubscribe link when available or by contacting support@covertquote.com.

We retain your waiting-list information until you unsubscribe, request deletion, or until the information is no longer reasonably needed for the purpose for which it was collected.
